Hythe Cricket & Squash Club take the protection of the data we hold about you seriously and are committed to respecting your privacy. This notice is to explain how we may use personal information we collect, how we comply with the law on data protection, and what your rights are.

Hythe Cricket & Squash Club categories of personal data we collect for all members:

  • Name and date of birth
  • Contact details
  • Emergency contact details - optional
  • Participation consent (Code of Conduct)
  • Video/Photography consent - where relevant to participation in recorded training/games

In addition, for members U18:

  • Health & additional needs information - where relevant to participation in training/games
  • Emergency contact details - compulsory
  • Sporting participation experience information
  • School name and year group

We obtain personal data from:

  • Club members
  • The parent/legal guardian registering a child to join the club
  • Club Coaches & Team Managers

  • Administering bookings & attendance at sessions/games/social events
  • Dealing with medical needs/specific requirements
  • Supporting the delivery of sport sessions

Who we may disclose your personal data to:

  • Coaches and team managers for administering training sessions and competitions
  • Volunteers and Safeguarding Officers who support the delivery of sessions
  • The Club Manager and Club Membership Officer for the purposes of administering your membership

For players participating in cricket competition:
  • The Saxon Shore Junior League
  • The Ashford League
  • Kent Regional League
  • Kent Village League
  • Kent Cricket

For players participating in football competition:
  • The Kent Masters Conference

  • Ashford & District Masters Football League

    The legal basis for the collection and processing of your personal data is:

    • For administration and programme delivery: that it is necessary to fulfil the contract that you are going to enter into or have entered into with us
    • For dealing with medical or welfare needs: that you have given your explicit consent or in the child’s vital interests.
    • In all other cases: that it is necessary for our legitimate interests, which are to build a programme to encourage participation in sport and does not prejudice or harm rights and freedoms of parents/guardians or the children that join the programme.

    Your right to withdraw consent:
    Where you have given your consent to any processing of personal data, you have the right to withdraw that consent at any time. If you do, it will not affect the lawfulness of any processing for which we had consent prior to your withdrawing it.

    Location of your personal data:
    The Club will keep your personal data within the European Economic Area.

    How long we will keep your personal data for:
    We will not retain your personal data for longer than is reasonable and necessary for the purposes for which it was collected. We shall retain your personal data for such time as you are registered with Hythe Cricket & Squash Club.

    1 year after you cease to be registered with Hythe Cricket & Squash Club or play an active part in Hythe Cricket & Squash Club, we shall delete your data.

    Your rights in respect of your personal data:
    You have the right of access to your personal data and, in some cases, to require us to restrict, erase or rectify it or to object to our processing it, and the right of data portability.

    Terms and Conditions

    Hythe Cricket and Squash Club Code of Conduct

    We want our club to be an inclusive, safe, and welcoming place for people of all ages and abilities.

    We expect all members and guests to:

    • Treat others with courtesy and respect.
    • Maintain standards of behaviour appropriate to a family environment.
    • Appropriately challenge or report any form of discrimination witnessed in the club.
    • Show respect and understanding for the safety and welfare of others and report any concern about a child or vulnerable adult to the Club Safeguarding Officer.
    • Be open and honest and share any concerns or complaints about the management of the club with a member of the club committee.
    • Avoid engaging in actions that would bring the club into disrepute, either in person, or online.
    • Pay any agreed fees for membership, competition, training or events promptly.
    • Respect our facilities, use the club house and grounds responsibly, and keep club equipment and fixtures and fittings in good condition.

    These standards apply to participation in the club both in person and online.

    Members and guests must not:

    • Smoke or drink while actively working with children in the club.
    • Provide alcohol to children.
    • Smoke in the clubhouse or buildings.
    • Carry, supply, or use prohibited drugs on club premises.

    We expect all those participating in sport in our club to:
    • Commit to the player, parent, coach or match official Code of Conduct adopted by their sport.
    • Learn the laws and rules and play within them, respecting the decisions of match officials.
    • Actively discourage unfair play and arguing with match officials.
    • Recognise good performance and fair play, not just match results.
    • Ensure that participating in sport is a safe, positive, and fun experience for anyone under 18 involved.

    Members who appear not to be keeping to this code of conduct may be asked to be more careful about their behaviour and may in exceptional circumstances have their membership suspended or cancelled. Any member behaving inappropriately or using abusive language can be asked to leave the premises or online forum immediately.
